Job Description:

The Medical Office Manager for Student Health Services (SHS) facilitates the delivery of direct physical health services to MSMU students at both Campuses as needed, and provides office management functions for the Director or designee.

Position Hourly Rate: $25.62

Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.

Duties and Responsibilities:

  • Schedules health clinic appointments for MSMU students with professional staff through proficient use and understanding of the Electronic Health Record System
  • Maintains accurate medical records and filing system through proficient use and strong working knowledge of the Electronic Health Record System and review data for compliance
  • Coordinates interdepartmental and intradepartmental communications; receive and route telephone calls; distribute memos and notices; facilitate written communications with students, vendors, providers and others; and coordinate mail delivery and collection
  • Provides information to students regarding health requirements, insurance information, clinical affiliation compliance, educational programming and scheduling changes
  • Collects payment and maintain accounting of student accounts receivable for health clinic services and maintains budget records for Student Health Services
  • Coordinates emergency response in the absence of a professional provider
  • Provides office management functions including inventory, ordering of supplies and working closely with other departments such as Facilities Management, Business Office, OIT, and Mailroom and Graphics
  • Hires, trains, schedules, evaluates, and delegates work assignments to student employees
  • Participates in the creation and execution of all outreach programming sponsored by SHS
  • Partners with the RNs and NP to effectively and efficiently provide needed care for all MSMU students seeking services within the health center

Other Duties and Responsibilities:

  • Manages and create material for promotion of activities on social media
  • Interacts with off-campus vendors in facilitating the delivery of support services and supplies
  • Serves as an interdepartmental and intercampus liaison within the University community
  • Represents the Student Health Services as needed
  • Performs other special projects, as assigned.

Requirements:

Knowledge:

  • Strong working knowledge of ambulatory care medical office procedures and general office equipment, health insurance processing, maintenance of medical records and basic alpha filing.
  • Working knowledge of accounting and accounts receivable principles.
  • Good working knowledge of word processing software (Windows), desktop publishing, graphics and database management.
  • Knowledge of health education and community health programming, women's health issues, disaster and infectious disease outbreak responses and medical terminology desired.

Abilities and Skills:

  • Effectively organize, prioritize and handle multiple tasks to meet established deadlines.
  • Excellent ability to assess situation urgency, effectively solve problems in a professional healthcare environment and provide accurate information related to healthcare needs and insurance processing.
  • Interact professionally with healthcare providers, students and support staff and communicate accurately and promptly regarding patient care management.
  • Build rapport and communicate/work effectively with a wide variety of people.
  • Read comprehensively, design and create professional newsletter, draft and compose correspondence correctly and effectively.
  • Flexible, detail-oriented team player who can work despite continued interruptions.
  • Motivate, train, supervise and counsel student workers.
  • Exercise sound judgment and decision making.
  • Strong organization and prioritization, time management, customer service, oral/written communication, basic mathematics and accounting, accounts receivable, public relations, interpersonal, supervisory and leadership skills.
  • Typing of 60 wpm.

Education:

  • High school diploma or equivalent.
  • Associate's Degree preferred.
  • Minimum of a vocational training certificate in medical front office management is preferred.

Experience:

  • Minimum of two years' experience in a medical front office or college health center.
  • Experience working with word processing software. At least one year of experience supervising front office staff preferred.
